Question:
Discuss about the Information System Investment for Current and Future Environment.
Answer:
Statement of objectives
The statement of objectives that would drive the “information system investment” for “The Clarion School for Boys,” may involve the following objectives:
This will facilitate self-service especially for students and learners for performing fundamental administrative purposes along with tasks within an environment that would be “one-stop” access and service (Buabeng-Andoh, 2012).
Integrating information sources and then processing through an individual function, which can carry once entry of a learner data.
Maintains recruitment and retention of students while encouraging a positive and strong association with University, donors and alumni along with other public/individuals.
Student’s admission activities within the institution.
Ensure data security, privacy along with integrity especially within the open-access atmosphere.
Support and integrate teaching and new learning prospect along with technologies precisely for learners and the faculty.
Supporting staffs and faculties that perform complex and the basic operations via simplified work procedures (Eastman et.al2011).
Analysis of Current and Future Environment, Including Business, Information Technology, and user Information
The role that audit and information technology plays has emerged to be a vital system that ensures information system’s integrity along with the reporting of the organization. This would help an organization to prevent and hopefully avoid probable monetary disaster, for example, what world.com and Enron had to witness. The world economy had become more co-dependent than ever, and the factor “geopolitical risks” is affecting everyone. Almost 99.99% of business organizations across the world have integrated their business with electronic infrastructure, which has broadened their horizon of future prospect. Need for audit and control IT hasn’t been such greater (Goodchild et.al, 2012).
Primarily the commercial world has witnessed the IT auditing (which has formerly been referred as the EDP (Electronic data processing) in the form of an extension to the conventional process of auditing. During that particular time- the urge for IT audit emerged in a uni-directional manner.
Auditors did realize that machinery (computers) did put an impact on their personal abilities to perform attestation function.
Professional organizations, associations along with government entities identified the requirement for information technology control along with audibility (Pilkonis et.al, 2011).
Information Technology Action Plan
Mr. John Young as the case portrays does have an enormous responsibility of planning a current condition of IS (Information System) evaluation especially for the Clarion school for Boys. The timetable that Mr. John is available with has truncated, for this purpose, he would have to rely on the faculty and school staffs for acquiring assistance for evaluating the current infrastructure of IS (Romney & Steinbart, 2012). The action plan for this would involve the following steps:
Action plan
Task
Due Date
Responsible
IT action plan
e-textbook agenda
Aiming for 100% C-1 course implementation by the end of the year; nearly 80% wide-ranging implementation by the end of next year and finally 100% implementation by the end of the consecutive year.
E-Textbook committee-members
Action plan for information technology
An agenda for encouraging support from faculty within classroom
Considering the timetable according to the semesters
Faculty involvement
Action plan for information technology
Planning for next-gen technologies
Considering the timetable of the school
Faculty involvement
Action plan for information technology
Assessing moving calendar/email services to the offices that are entirely cloud based
End of the year
School staffs and faculties and even senior students
Resource and Funding
Mr. John has to play a significant role in coordination with the school faculty and staffs to acquire substantial sources and funding. Jacob Miller, the predecessor of Mr. Young, did support the idea of using automated or the computer information mechanism. Mr. Jacob believed that computerized information mechanism does have the potential to enhance staff productivity, effectiveness along with the most important aspect “communication abilities.” However, the school is currently facing a constraint because of the computer it desires to install that is “IBM AS/400” along with a volume of sixty personal computers (Tipton & Nozaki, 2012). The school authority believes that installing this would help in accessing the student database in comparatively faster manner. However, the school authority did replace the sixty personal computers but still couldn’t arrange the AS/400.
Mr. Young would have to gather funds and resources in consideration of the aim of installing the AS/400.
Implementation Plan
Once the resource and funding are done, Mr. Young would have to shift his focus to implementing the plan. The implementation plan would entire be executed with the help of staffs and school faculty since, these are the helping hand that Mr. Young is available with. A typical implement strategy incorporates aspects such as:
Development approach
Integration approach
Implementation strategy
Conversion strategy
Deployment strategy
The implemented strategy of Mr. Young would include the current or existing facilities and the computer systems that Clarion School has. It also is necessary for Mr. Young to consider the environment that faculties would be working with the systems (Tzeng & Huang, 2011). The following segment in the implementation plan would be “methods and equipment”; Mr. Young must consider the tools or equipment that have been used for installing the previous computers at the school along with the methods that were used for implementing the computers. The method might be the normal procedure that is used for installing computers. However Young might have to consider a different approach for when the school sanctions the implementation of AS/400.
Organizational Change
Installing a new set of computers is a clear sign of change that organization/school is planning to implement. Mr. Young being the in-charge of all of this must take concrete initiatives for communicating the change to the school faculties and staffs along with the board of director. This would not only help Mr. Young to implement the change effectively but to control the change in the most constructive manner (Ware, 2012).
Training
Training sessions allow new and unfamiliar individuals to be familiar with the change that has been implemented within the system (Xiong et.al, 2012). Mr. Young would have to organize training sessions for the school staffs and faculties and any individual that would come in touch with the new computers along with the IBM AS/400. Training with the new system would help the faculties to develop clear ideas and embrace the system in a sound manner. Trainees will be given substantial knowledge about hardware, the software, any change that differentiates the new computers from the previous ones and others (Kirschner et.al, 2012).
